Quarter 1 Updates 2020

You spoke and we listened! Guided by the needs of our clients, our team has been working diligently to produce brand-new features and avant-garde updates!

With these Quarter 1 Updates, we have aimed to empower your business with tools optimized to increase efficiency, simplify employee scheduling, provide more dynamic views of your company’s performance, and so much more. In order to improve your experience with Envision Cloud, we have:

NEW LOOK!

  • Added new Theme/Branding options! For all the Ultimate User, you can now set the color throughout Envision Cloud to match your business branding. You can also add your company logo in the top-left corner. 
    • Company Setting > Other tab > Branding Options

Appointment Schedule

  • Added an Advanced Client Search option at the Appointment Calendar to help you find clients in no time. You can now search clients by phone number, email address, zip code, and card Id for quick and easy lookup! To utilize this feature when booking an appointment or cashing out a client:
    • Magnifying glass icon next to Clients dropdown> type in fields below the blue header to begin a search

  • Added an Advanced Inventory Search option to the Appointment Calendar. You can now search your inventory by Item Id, barcode, department, class, and inventory type. To use this feature: 
    • Magnifying glass icon next to Service dropdown> type in fields below the blue header to begin a search

  • Added the option to log a Missed Opportunity in the Appointment Calendar. (Ultimate Only) A missed opportunity is when a client attempts to make an appointment, but you're completely booked or don't have the resources available and the client is unable to choose a different time, meaning you would miss out on booking them this time around. To log these in Envision Cloud: 
    • Appointment Calendar > Rightclick on timeslot when you missed an opportunity > select "Add Missed Opportunity" from the dropdown > input required information

Clients

  • Added the option for clients to be able to make a deposit when booking an appointment online. (Ultimate Only) This feature can help your business cut down on the number of no-shows!
    • Company Settings > Online Booking tab > General Options sub-tab > Deposit Method

  • Started to pre-authorize credit cards for $1 when a client puts a credit card on file for online booking, to ensure the card is valid and has an available balance. 
    • Company Settings > Online Booking tab > General Options sub-tab > Deposit Method dropdown > Deposit Amount field

  • Added a warning to a client's demographics screen after you attempt to send them an email and their email address has been marked as undeliverable, to help you keep your email addresses up to date.
    • Clients > Client List > Double-click client to view demographics screen

Employees

  • Added Inhouse Training as a work schedule Work Type. Now, you can create schedules that more accurately reflect what an employee is doing, which includes Inhouse Training! To integrate this work type into your employee schedule go to:
    • Employees > Work Schedule > click on existing shift > click Type dropdown

  • Added the option to Work Schedule to copy all scheduled days or only copy days set to Work. To use this feature when scheduling employees: 
    • Employees > Work Schedule > Copy Schedules > Copy Options dropdown
      • "Copy ALL scheduled days" would include different work types like "Holiday" or "Education."
      • "Only copy work days" meaning different work types would not be included in the copied schedule, only shifts with the work type set to "Work" are copied.

  • Added the following copy Overwrite Options to Work Schedule: "Do not overwrite any existing schedule," "Only overwrite Work/Blank days" or "Overwrite all days," which allows you to decide how a copied schedule would impact days already on the work schedule before copying. 
    • Employees > Work Schedule > Copy Schedules > Overwrite Options

  • Added team goals for Ultimate users. You can set a variety of objectives for a team of employees to motivate and encourage your staff! To set up a team goal plan:
    • Employees > Employee Options > Team Goals Setup

Point of Sale

  • Added an Advanced Client Search option at the Sales Register to help you find clients in no time. You can now search clients by phone number, email address, zip code, and card Id for quick and easy lookup! To utilize this feature when booking an appointment or cashing out a client:

  • Added an Advanced Inventory Search option to the Sales Register. You can now search your inventory by Item Id, barcode, department, class, and inventory type. To use this feature:

  • Added the option to make an entire ticket non-taxable. This feature allows your business to process non-taxable transactions with tax-exempt organizations like non-profits or government agencies. To make this change to a ticket go to:
    • Sales > Sales Register > Ticket details > check the Non-Taxable box

  • Added the option to rename tax rate names. This is a great feature to allow for your business to differentiate different types of taxes like federal tax or state tax within Envision Cloud's system. In order to rename them, go to:
    • Company Settings > Tax Setup tab > Tax Rate Name

Inventory

  • Added the option to make the sale price a Fixed Amount, Flat Discount or Percent Off which makes marking down services with multiple price levels easy! To mark down prices using one of these options:
    • Inventory > Select Service List, Retail List, etc. > Double click an item in your inventory to edit > Sales sub-tab > Sale Type dropdown

  • Added option to set how many days until a prepaid expires. This feature eliminates the possibility of a client pre-paying for a service and attempting to redeem it years later when the current price is different than the prepaid price. To set a prepaid expiration:
    • Inventory > Service List or Package List >Double-click item to edit > Prepaid expires ____ days after sale

  • Added the ability to color-code specific services in the Appointment Schedule for Ultimate users! This can help to make your Appointment Schedule more organized and easy-to-read. 
    • Inventory > Service List > double-click to edit a service > Scheduling sub-tab > Calendar Color dropdown

Reports

  • Added a Missed Opportunity report (Ultimate Only) which allows you to see your missed opportunities filtered by date, employees and/or services! This is a great tool to analyze which services and employees are in high demand. This feature can aid your business in decision-making regarding hiring, scheduling, and more! To pull this report: 
    • Reports > Business Analysis Reports > Missed Opportunity

  • Enhanced our Report Date range feature by expanding the options to Today, This Week, This Month, This Year, Yesterday, Last Week, Last Month, Last Year and more!
    •  Date Range > Range dropdown

Medspa

  • Added the option to Bold, Italicize or Underline text within a form in Update My Records! With this feature, your MedSpa can emphasize important aspects of a form to clients. To get customizing go to:
    • Create/Edit Templates > pencil icon > pencil icon of short answer > highlight the text you want to modify > select bold, italics, or underline icon to apply these text modifications

Other

  • Added option to print the total tax or tax by rate on the receipt. If you have separate tax rates, these options allow you to customize how they appear on a client's receipt. 
    • Company Settings > Tax Setup > Receipt Display Options
